Fundraising Gala Tables and Pledges

Fundraising Gala Tables and Pledges is an EventfullyManaged concept for the development and events teams of nonprofits and associations running a gala night. It turns the venue floor plan into a table map for the night, records the fund-a-need appeal level by level as paddles go up, and keeps a follow-up list of every pledge tied to the guest who made it, so the evening ends with a reconciled list of who pledged what rather than a stack of pledge cards.

For many nonprofits the gala is a major fundraising night, and much of it can still run on paper: a seating chart on an easel, bidder numbers written on a clipboard at the door and pledges called from the stage and noted by volunteers. When guests leave, the development team is left to match paddle numbers to names, chase card details and send thanks days later. The concept is designed to capture each pledge against a named guest as it happens.

The illustrated console carries the gala's name with a Live badge and a clock in the header. The Table map places the stage at the top and numbered round tables below, each showing guests seated out of its places, with the first four tables marked as sponsor tables. Selecting a table opens a card with its host, its sponsor and the number seated, plus Move guest and Print place cards actions, and a footer counts guests checked in against those expected and the bidder numbers issued. On the right, a fund-a-need card for a sample riverbank restoration appeal shows a progress bar toward the goal and a table of giving levels with paddles raised and the total pledged at each. A Pledge follow-up list gives each pledge's bidder number, guest and amount with a status tag, such as sent to HeadshotMarketing or card on file needed. Guests, sponsors and amounts are sample data.

The concept builds on EventfullyManaged's venues and floor plans, attendee records and QR check-in, where bidder numbers are designed to be issued as guests arrive. It is designed to work with two other Burdenoff products. Before the room empties, every pledge, sponsor and first-time guest is designed to pass to HeadshotMarketing for thanks and follow-up, which the Sent to HeadshotMarketing tags on the pledge list reflect. A note under the list describes a nightly sync triggered by FluidGrids that sends pledges to the organization's payment processor, and FluidGrids is also designed to route unpaid balances to the finance team's system.
