Overview

Event Sponsor Deliverables and Renewal Proof is an EventfullyManaged concept for sponsorship managers at conferences, trade shows and other events and experiences. It builds on the product's sponsor and exhibitor records to show, for each sponsor, what the contract promised and what the event has delivered, with the evidence for each item alongside, and packages that into a fulfillment report for the renewal conversation.

Sponsors renew when they can see what they received. For many event teams, proving it means gathering stage photos, session headcounts, lead exports and email send reports from different tools after the event, by which time a missed deliverable can no longer be put right. The concept is designed to track fulfillment while the event is running, so items falling behind are flagged while they can still be made good on site.

The illustrated Sponsor Fulfillment page, under Sponsors in the navigation, opens with a sponsor selector and a tier badge for a sample platinum sponsor. Three tiles give deliverables delivered out of those contracted, booth leads against the target with a progress bar and percentage, and attendees scanned into the sponsored session. The Contracted deliverables table lists items such as a main-stage logo loop, a sponsored lunch session, booth lead scans, an attendee email feature, social posts and networking lounge branding. Each shows what was promised, what has been delivered, the evidence, such as a photo set, session check-ins, a lead list, a send date or post links, and a status of delivered, behind, scheduled or in progress. A Lead quality panel splits booth leads into hot, warm and cold, with a count of meetings booked. A Renewal panel names the sponsor's next deal at proposal stage, marked as in the HeadshotMarketing pipeline, notes that a fulfillment report is attached, and offers Send report to sponsor and Export PDF. Sponsors and figures are sample data.

The design draws its evidence from the event record itself: scanned session attendance from check-in, booth lead scans with their ratings, meetings booked and send status for attendee emails. It is designed to work with HeadshotMarketing, another Burdenoff product. When the event closes, the fulfillment report is designed to attach to the sponsor's renewal deal in HeadshotMarketing's sales pipeline, so the next conversation with the sponsor starts from what was delivered.

How it works

  1. Choose a sponsor from the selector to open its fulfillment view and tier.
  2. Read the tiles for deliverables delivered, booth leads against target and session check-ins.
  3. Work down the contracted deliverables, checking the evidence behind each delivered item.
  4. Act on items marked behind or in progress while the event is still running, such as a booth short of its lead target.
  5. Review lead quality and meetings booked for the sponsor's booth.
  6. When the event closes, attach the fulfillment report to the renewal deal in HeadshotMarketing, then send it to the sponsor or export a PDF.
